Job Title: Direct Dispatch Assistant
Hours: Full-time

Dorking, Surrey

 4 days a week in the office and 1 remote.

Job Overview

We are looking for a motivated and detail-oriented Direct Dispatch Assistant to join our team. The ideal candidate will provide vital administrative support to the manager who heads up our Direct Dispatch (DD) function. This role involves manual order processing, performance tracking, and ongoing support to the DD team. Strong IT skills, particularly in Excel and other Microsoft systems, are essential, alongside a proactive approach to learning and adapting to new systems.

Key Responsibilities

Day-to-Day Tasks:

  • Provide general administrative support to Nicola Christopher, Head of Direct Dispatch.
  • Process manual orders across all platforms, ensuring accuracy and timeliness.
  • Input data into the daily order tracker and capture performance metrics.
  • Handle customer service enquiries and escalate issues where necessary.
  • Attend and take minutes for key meetings:
    • DD/Finance (Wednesday)
    • DD/Stock (once a month)
    • DD/Ops (Friday)
    • Follow up on actions to assist Nicola as required.

Ongoing Tasks:

  • Catalogue Enrichment: Assist with new product uploads, enhancing the current product catalogue with updated images, videos, and additional content.
  • Content Creation: Resize images and write product copy, adapting existing copy using tools like ChatGPT to ensure it fits each platform’s requirements.
  • Maintain logs to ensure platform utilisation is optimised. This includes keeping product information, images, and assets up to date.

Project Work:

  • Support Nicola Christopher and Chris Harrison in onboarding new customers, assisting with administration and business support tasks.
  • Complete new line forms for customer setup.

Skills & Requirements:

  • Strong IT skills, particularly with Excel and Microsoft systems (Word, Outlook, PowerPoint).
  • Excellent attention to detail and the ability to process data accurately.
  • Ability to manage multiple ongoing tasks and projects, prioritising effectively.
  • Solid understanding of digital platforms and content management systems.
  • Strong written communication skills, especially in adapting copy across different platforms.
  • Confident in taking meeting minutes and following up on action points.
  • A proactive attitude, willing to learn and adapt to new systems and processes.
